Assistant Property Manager

The Assistant Property Manager (APM) is to be familiar with the various procedures of the building to allow them to stand in for the Property Manager (PM) when required.  Timely and accurate work is necessary to effectively discharge the duties of this position.  This position reports directly to the Property Manager.  A full working knowledge of the firm’s Property Management Policies and Procedures Manual is required in order to ensure compliance thereof.


The following list of responsibilities for the APM position should be viewed as the minimum expectation, and not an exhaustive list.  Job functions may be added to or deleted from this job description as necessary depending on the level of staffing at the property.

Accounting:
  • In-depth knowledge and experience in all aspects of MRI and the accounting process.
  • Calculate all tenant charges and work with accounting to get charges posted.
  • Review monthly rent-ups for accuracy and provide to PM for approval.
  • Distribute monthly billings/tenant rent statements if not sent directly from MRI.
  • Track and collect delinquencies, including the charging of late fees and interest as directed by PM.
  • Assist PM with the preparation of the monthly reports, including accruals, property summaries, budget variances, re-classes, and aged receivables comments.
  • Timely invoice all construction management fees for TI and CapEx projects in accordance with the property management agreement.
  • Prepare payables by coding invoices in AvidX, check for accuracy, obtain approval(s).
  • Collect W-9 forms for input by accounting staff.
  • Collect lien waivers for applicable invoices.
  • Run monthly rent rolls for review and approval by PM.
  • Assist in the preparation and input of the annual budget under the direction of PM.
  • Assist in the preparation of annual operating expense forecasts and reconciliations under the direction of the PM.
  • Create lease abstracts, provide lease abstracts to PM and then accounting for lease input into MRI, review for reminder items (mid-lease term action items).
  • Assist Accounting Department with all requests as needed.

Operations:
  • Work directly with PM, Engineer(s), Valet, and Janitorial in all aspects of property management.
  • Conduct regular property inspections to ensure property is clean, operating properly, and any new items addressed by the appropriate staff or vendor in accordance with agreed procedures.
  • Coordinate special cleaning needs with janitorial company daily and walk the property with janitorial supervisor in accordance with agreed procedures.  Inspection of vacant spaces should be included within the inspections.
  • Oversee concierge and security contractors at the property, including memos regarding building procedures, daily and nightly events and clearances.
  • Oversee all service contracts for exterior and interior maintenance, excluding engineering contracts.
  • Maintain and keep current, all tenant and vendor certificates of insurance in IMPAK or approved COI tracking form and run a report monthly for inclusion with the monthly reports.
  • Handle all calls regarding maintenance, cleaning or any problem with tenants or vendors that may arise.
  • Distribute and follow up on work orders to appropriate staff.
  • Assist PM as necessary with tenant improvement and capital projects.
  • Review all parking reports for accuracy and process any garage-keeper insurance claims in a timely manner.
  • Oversee all aspects of the card access system.  Handle all tenant and vendor requests relating to building access cards.
  • Update tenant, vendor and emergency contact lists as changes occur.
  • Update and maintain emergency manuals.
  • Collect and distribute mail and order office supplies.

Tenant Relations:
  • Create a good working relationship with the tenants, understand their business and needs and be able to proactively address any issues/concerns to ensure customer satisfaction at all times.
  • Answer incoming phone calls and handle tenant issues and work orders.
  • Assist Leasing Agents as needed.
  • Coordinate all tenant move-ins, including keying, mailbox access, building access cards, and tenant welcome handbook.
  • After tenant move-in, ensure all commencement letters are signed and updated in MRI.
  • Direct/assist with preparation and organization of all tenant events, including welcome gifts, lobby events, catering, fire warden training, fire drills, etc.
  • Prepare and/or proofread monthly newsletter (if applicable).
  • Maintain open communication with all employees & tenants.

Salary and Benefits:
The salary for this position generally ranges between $60,000 and $65,000. This range is an estimate, based on potential employee qualifications, operational needs and other considerations permitted by law. Actual salaries will vary and may be above or below the stated range based on various factors including, among other factors, location, education and training, experience, internal pay alignment, and performance. A potential new employee’s salary history will not be used in compensation decisions. Many candidates’ compensation will start in the bottom half of the stated range. This role is also eligible to participate in a merit-based annual bonus program, health, vision, and dental insurance plans, long and short-term disability, 401K plan, and PTO. This information is provided in connection with the Colorado Equal Pay for Equal Work Act, and similar positions located outside of Colorado may or may not necessarily receive the same compensation.
